Front Desk Administrative Assistant, Davines North America (Temp-to-Perm):
As a Front Desk Administrative Assistant at Davines North America, you are the face of Davines North America upon every client and guest visit to the office.
You play a crucial role in ensuring the smooth functioning of the office.
You are responsible for handling administrative tasks, providing clerical support, and assisting with the overall efficiency of our organization.
DUTIES AND KEY RESPONSIBILITIES
Office Management:
Greet visitors, answer phone calls, and respond to emails in a professional and friendly manner.
Maintain a welcoming, clean, and organized office environment.
Order and manage office supplies.
Handle incoming and outgoing mail and packages.
Creating spreadsheets and updating databases
Support to Management and Team:
Assist managers and team members with various administrative tasks as needed.
Assist and prepare the office for Global top management during their visits.
Coordinate special projects and initiatives.
Client and Vendor Relations:
Interact professionally with employees, clients, vendors, and partners.
Coordinate office vendors based on needs.
Audit and Approve vendor invoices.
Assist in preparing materials for client or team meetings.
Handle client feedback and concerns professionally seeking to resolve issues to their satisfaction.
Escalate complex issues to the appropriate department when necessary
Work closely with other departments to provide seamless support and information sharing.
Other assignments as assigned.
The position is 100% onsite.
POSITION REQUIREMENTS
High school diploma or equivalent; associate's degree or relevant certification is a plus.
Hospitality experience is a plus.
Proven experience as an administrative assistant or in a similar role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong communication and interpersonal skills.
Exceptional organizational and time management abilities.
Strong attention to detail and high level of accuracy.
Ability to work independently and in a team.
Interested in working in the beauty industry and sustainability.
Discretion and confidentiality in handling sensitive information.
Able to lift up to 20 lbs
